How to insert a PDF into Word on any 2016–365 desktop build: step by step

  1. Run the checker above to confirm your PDF opens cleanly and see its page count and size.
  2. In Word, place your cursor where the PDF should sit, then open the Insert tab.
  3. Click Object (in the Text group, usually the rightmost icon) → Object… → Create from File tab → Browse.
  4. Select your PDF, tick Display as icon if you want a compact attachment look, then click OK.
  5. Save the document. The embedded PDF opens for anyone reading it in desktop Word on Windows.

What actually changed between Word 2016 and Word 365

Cosmetically, the ribbon got flatter and Microsoft 365 added cloud co-authoring and an Editor pane, but the Insert → Object → Create from File dialog is functionally unchanged across 2016, 2019, 2021, and the current 365 build. The one real difference is licensing: 2016/2019/2021 are one-time-purchase versions frozen at that feature set, while 365 keeps receiving updates. Neither affects how PDF embedding works.
